How to Refurbish a Hotel Floor Without Closing It

Most refurbishment programmes lose more money to closed floors than to materials. Here is how the sequencing works when the surface system is chosen for it.

Hotel reception corridor finished with fluted wall panels, running the length of an operating floor

On most hotel refurbishment programmes the material cost is not what hurts. The damage is done by the rooms that sit empty while a wet trade cures, and by the corridor that has to be closed because there is nowhere to stage the work. A 120-key property losing a floor for three weeks at even modest occupancy gives up more revenue than the entire surface package costs.

The sequencing below is what allows a floor to stay in service. It only works if the surface system was specified for it, which is why the specification decisions come first.

The Four Specification Decisions That Set the Programme

Everything downstream — crew size, room turn rate, whether the corridor closes — is fixed by four choices made at specification stage. Get these right and the sequencing takes care of itself.

1. Dry installation, not adhesive

A tongue-and-groove snap-fit panel is mechanically fixed. There is no curing period, no ventilation requirement and no solvent smell in the corridor. A room finished at 16:00 can take a guest at 18:00. Adhesive systems cannot do this, and the ventilation window is what forces most programmes to close whole floors rather than rotate rooms.

2. One colour reference across every surface

Doors, wall panels and cabinet fronts produced from the same colour batch remove the single most common snag item on refurbishment handovers: tonal mismatch between elements supplied by three different vendors. It also means a damaged panel in month eight can be replaced from the same reference rather than matched by eye.

3. Panel length matched to floor-to-ceiling height

Panels supplied in 3 m lengths cover a standard guest-room wall without a horizontal joint. Fewer joints means less setting out, fewer cuts on site and a cleaner result — but it also means the panels have to be carried up and along the corridor in one piece. Check the lift car diagonal before committing to length.

4. Fire and emissions rating cleared before order

Corridors are escape routes and carry a stricter rating than the rooms they serve. Class B fire rating throughout avoids a two-specification programme. ENF-certified zero-formaldehyde surfaces remove the emissions question entirely for rooms returning to service the same day.

Rotation Sequencing

The principle is simple: never take more rooms out of service than you can return the same day, and treat the corridor as a separate package run outside guest hours.

StageScopeFloor status
Week 0Survey, setting out, sample roomFully open
Week 1–3Guest rooms, 4–6 per day on rotationOpen, 6 keys held back
Week 3Corridor, worked 22:00–06:00Open to guests by morning
Week 4Lift lobbies, snagging, handoverFully open

Holding six keys back rather than a whole floor is what makes the programme viable. At 4–6 rooms per day a 40-key floor completes in roughly two to three working weeks with occupancy barely moving.

The Sample Room Is Not Optional

Build one room completely before the main order is released. Not a mock-up panel on a board — a finished room with the real lighting, the real skirting junction and the real door frame. It answers three questions that drawings cannot:

  • How the panel profile reads under the actual room lighting, which is usually warmer and lower than the showroom
  • Where the setting-out line starts, so the cut panel lands in the least visible corner rather than beside the entrance
  • How long one room genuinely takes with this crew, in this building, with this lift

That last figure is the one the whole programme is built on. A rate assumed from a brochure and a rate measured in your own building are rarely the same number.

Lead Time and Order Quantity

Production runs to five working days once the colour is confirmed, but the colour confirmation is what usually sets the date. Treat sample approval as the critical path item and start it before the contractor is appointed.

Minimum order is 300 metres per colour. For a floor package this is rarely a constraint — a 40-key floor with corridor typically consumes well beyond that in a single reference. It does mean that specifying five accent colours across one floor is the wrong shape for the supply model, and the design is better served by one base reference with a single accent.

What to Hand the Contractor

Three documents remove most of the questions that otherwise arrive by phone during week one:

  • Setting-out drawing per room type — not per room. Most properties have four or five room types; draw each once.
  • Colour schedule keyed to the reference, listing every surface that shares it, so a substitution request is visibly a substitution across doors, walls and cabinets rather than one item.
  • Rotation plan with the keys held back named, agreed with the front desk before the first day rather than negotiated each morning.

If you are costing a refurbishment and want the quantities checked against your room schedule, send the floor plans and the key count — we will return a surface package proposal with the rotation sequencing worked through.

Frequently Asked Questions

How many rooms can realistically be turned per day?

With a two-person crew per room and a dry installation method, four to six rooms per day is a normal rate once the first day's learning curve is behind you. The limit is usually furniture handling and corridor logistics, not the panel work itself.

Does the floor need to be ventilated before guests return?

No. A dry, adhesive-free installation has no curing period and no solvent off-gassing, so a finished room can be re-let the same evening. This is the single biggest difference from a wet trade programme.

What is the minimum order for a refurbishment?

300 metres per colour. For a typical 120-key property specifying two colours across corridors and rooms, that threshold is reached comfortably within a single floor package.
